Privacy at Windsor Family Dental

If you use the chat or the appointment form on this site, here is exactly what happens to what you send us. No legal padding.

The short version

We keep your name, your phone number and what you told us, so someone at the front desk can get back to you. It is stored in Canada (Supabase, ca-central-1). The replies you get in the chat window are written by an AI service in the United States, which means the words you type are sent there to produce an answer. We do not sell anything to anyone, and there is no advertising on this site.

What we collect, and why

What we do not collect

The website never asks for any of this, and you should not send it through the chat:

  • Your health card number
  • Your medical or dental history
  • Insurance policy numbers
  • Payment or credit card details
  • X-rays, photos or any file upload

If you have health history, insurance details or images to share, bring them to your appointment or call us at (519) 555-0142. A website chat is the wrong place for them.

Where it goes

  • Stored in Canada. Your details sit in a database hosted in Canada (Supabase, ca-central-1), reachable only by staff at this practice who have signed in.
  • Chat replies are generated in the United States. To answer you, the chat sends your message to Anthropic (United States). That is the one point where what you typed leaves the country. It is used to produce the reply, not to train anything.
  • Nobody else. We do not sell or share your information for marketing. It is disclosed outside the practice only where the law requires it.

How long we keep it

Requests that turn into appointments become part of your dental record and are kept as long as the law requires records to be kept. Requests that go nowhere — an enquiry that never became a visit — are kept while they are useful to the front desk and then deleted. You can ask us to delete yours sooner.

Seeing or correcting what we hold

You can ask to see the information this practice holds about you, and to have anything wrong corrected. Ask at the front desk or call (519) 555-0142. We will tell you what we hold and fix anything that is inaccurate.

Who to speak to, and how to complain

If we cannot resolve it, you have the right to complain to the Information and Privacy Commissioner of Ontario, who oversees health privacy in this province: ipc.on.ca. You do not need our permission to do that.

The chat on this site is answered by software, not a person. It cannot give clinical advice. If something is urgent, call (519) 555-0142, and if you have trouble breathing or swallowing, spreading swelling or a fever with facial swelling, go to an emergency department or call 911.
